Position Overview
The Export and Logistics Specialist at ABB AG in Heidelberg plays a central operational role in the company’s international trade and shipping function. Key Responsibilities
Export Coordination & Shipping Management
- Coordinate and monitor all shipping and export activities end-to-end across ABB AG’s Heidelberg operations
- Prepare all necessary export documents and invoices accurately and on time in line with customer and country-specific requirements
- Select suitable shipping and packaging methods for each shipment based on destination and product requirements
- Book freight space with carriers and logistics partners, monitoring air and sea freight documentation throughout the process
Export Compliance & Customs Management
- Ensure full compliance with all applicable export regulations, international trade conditions, and relevant legal requirements
- Guarantee correct and timely handling of all customs and preferential trade issues across export shipments
- Stay current with changes in export control regulations, customs tariffs, and international trade rules affecting operations
- Support internal compliance reviews and external audits related to foreign trade and customs activities
Stakeholder Communication & Complaint Handling
- Actively communicate with logistics partners, sales teams, and freight forwarders to coordinate shipments efficiently
- Process shipping complaints and discrepancies professionally and keep all relevant parties informed about shipment status
- Serve as the operational point of contact between ABB and external freight and logistics service providers
- Provide clear, timely updates to internal and external stakeholders throughout the full shipping lifecycle
SAP Data Management & Documentation
- Maintain all relevant export, customs, and shipping data accurately in SAP ERP and SAP GTS systems
- Ensure all export documentation — including customs declarations, certificates of origin, and freight documents — is complete and audit-ready
- Monitor and update shipping records, freight bookings, and export filings consistently across all active shipments
- Support process improvement initiatives within the Trade & Transportation function through accurate data and reporting
Qualifications & Requirements
Educational Background
- Completed commercial training, ideally as an industrial clerk (Industriekaufmann/-frau) or freight forwarding clerk (Speditionskaufmann/-frau)
- Initial professional experience in export, freight forwarding, or foreign trade is a strong and preferred advantage
Technical & System Skills
- Proficient and confident in using SAP ERP and SAP GTS — both systems are actively used in this role daily
- Strong working knowledge of MS Office suite for documentation, reporting, and communication tasks
- Deep understanding of relevant export processes, customs regulations, and international trade documentation requirements
- Familiarity with preferential trade agreements, export control classifications, and customs tariff systems is highly beneficial
Language & Personal Skills
- Fluent in both German and English — written and spoken — essential for communicating with domestic and international partners
- Strong communication skills, flexibility, and genuine team spirit in a fast-moving, solution-oriented work environment
- Ability to work independently, manage multiple shipments simultaneously, and maintain high accuracy under deadline pressure
