Position Overview
The Export Executive (Factory) at this Umm Al Quwain petrochemical manufacturing facility is a comprehensive international trade and logistics role responsible for managing export orders from initial receipt through final shipment delivery. You will coordinate with Sales, Planning, Production, Warehouse, Quality Control, and Finance departments to ensure smooth export execution; prepare, review, and verify all export and shipping documentation; arrange shipments with shipping lines, freight forwarders, and transport providers; coordinate UAE customs clearance; ensure compliance with UAE and destination country regulations; communicate with customers and logistics partners; and resolve any shipment-related issues to ensure on-time delivery of paints, coatings, resins, adhesives, and construction chemicals to customers across the Middle East, Africa, and Europe.

Key Responsibilities
Export Order Management — End-to-End
- Manage all export orders from initial receipt through to final shipment and customer delivery — ensuring complete accuracy, timely execution, and cross-departmental alignment throughout the full export order cycle
- Coordinate systematically with Sales, Planning, Production, Warehouse, Quality Control, and Finance departments to ensure seamless export order processing — aligning production readiness, stock availability, quality release, and invoice generation with confirmed shipment schedules
- Track all active export orders against committed delivery timelines — proactively identifying potential delays and implementing solutions to maintain on-time shipment performance for customers across all export markets
Export Documentation Preparation & Verification
- Prepare, review, and verify all export and shipping documentation — including commercial invoices, packing lists, bills of lading, certificates of origin, material safety data sheets (MSDS), inspection certificates, and any additional documents required by destination country regulations
- Ensure all export documentation is 100% accurate, complete, and compliant with UAE export regulations, international trade requirements, and specific destination country import documentation requirements before shipment release
- Maintain organized, traceable records of all export documentation for audit purposes, customer requests, and regulatory compliance verification
Shipping Coordination — Lines, Forwarders & Transport
- Arrange all shipments with shipping lines, freight forwarders, and land transport providers — negotiating competitive freight rates, booking cargo space, and confirming shipment schedules in alignment with customer delivery requirements and production readiness
- Coordinate container stuffing, cargo inspection, and transport to port or airport — ensuring all logistics activities are executed on schedule and in line with the applicable Incoterms agreed with each customer
- Manage relationships with freight forwarders and shipping lines proactively — maintaining service quality, resolving operational issues, and identifying cost and efficiency improvement opportunities in the logistics network
UAE Customs Clearance & Regulatory Compliance
- Coordinate UAE customs clearance for all export shipments — ensuring all export declarations, customs documentation, and regulatory submissions are accurate, timely, and fully compliant with UAE Federal Customs Authority requirements
- Ensure compliance with UAE and destination country export regulations — including chemical product export controls, MSDS requirements, labeling regulations, and any specific import restrictions in Middle Eastern, African, and European destination markets
- Stay current with changes to UAE customs procedures, international trade regulations, and destination country import requirements — updating internal export processes accordingly to maintain full compliance
Customer Communication & Issue Resolution
- Communicate proactively with customers and logistics partners throughout the shipment process — providing accurate shipment status updates, pre-alerts, tracking information, and delivery confirmations in a professional and timely manner
- Resolve shipment-related issues — including delays, documentation discrepancies, customs holds, and cargo claims — efficiently and professionally, minimizing impact on customer satisfaction and delivery timelines
- Build and maintain positive working relationships with regular customers, freight forwarders, shipping lines, and customs brokers to support smooth, efficient export operations across all markets
Qualifications & Requirements
Educational Requirements
- Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, International Trade, or a closely related field
Experience Requirements
- Minimum 3 years of hands-on export operations experience specifically within a manufacturing company — handling full end-to-end export order management, documentation preparation, and customs coordination
- Experience in chemical, petrochemical, paints, coatings, or industrial products export is highly preferred given the specialized documentation and regulatory requirements of this product category
Technical Knowledge & Skills
