Purchasing Officer responsibilities include researching and evaluating new vendors, obtaining competitive quotations, negotiating with suppliers, tracking deliveries, and updating purchasing records. Key Responsibilities
Vendor Sourcing & Negotiation
- Research and evaluate new vendors, obtaining competitive quotations
- Source vendors, compare prices, quality, and delivery terms
- Negotiate with suppliers to secure favorable purchasing terms
Inventory & Stock Monitoring
- Monitor stock levels and identify purchasing needs
- Ensure a fully stocked inventory while maintaining cost-effectiveness
Records & Documentation
- Update internal databases with order details, including dates, vendors, quantities, and discounts
- Maintain updated records of invoices, purchase orders, and contracts
Order Tracking & Coordination
- Follow up with suppliers to confirm or change orders
- Track orders and ensure timely delivery
- Coordinate with internal departments to ensure purchasing requirements are met
Qualifications & Requirements
Experience Requirements
- Minimum of 2 years’ experience in a similar role in a four or five-star hotel
- Hands-on experience with purchasing software (e.g., Adaco, FBM, or Jana System)
Essential Skills
- Knowledge of market research and good understanding of supply chain procedures
- Ability to work with and engage teams from different cultures
- Strong verbal and written communication skills
- Quality-oriented with focus on details and high performance standards
- Ability to multi-task and meet deadlines
