Position Overview

The Sample Coordinator in the Microbiology Department at Prime Group’s Abu Dhabi laboratory is a precision-oriented laboratory operations role responsible for coordinating the complete flow of samples from initial receipt through to final report delivery. You will receive and verify incoming samples, maintain their integrity throughout their time in the laboratory, ensure all required documentation is accurately completed, maintain the comprehensive sample log, manage the AMC (Annual Maintenance Contract or Analytical Monitoring Contract) schedule, coordinate sample collection logistics with field Samplers, submit samples daily to Unit Heads, support Data Feeders in completing test reports, prepare the weekly Microbiology report in accordance with Dubai Municipality requirements, and carry out other duties as assigned by the Laboratory Manager — ensuring at all times that client requirements and regulatory compliance standards are fully met.

Key Responsibilities

Sample Receipt, Verification & Integrity Management

  • Receive all incoming samples to the Microbiology Department — verifying the accuracy of sample identification, labeling, quantity, and condition against the accompanying documentation and client instructions before accepting the sample into the laboratory workflow
  • Maintain sample integrity throughout the sample’s time in the laboratory — ensuring samples are stored under appropriate conditions from receipt through testing, that storage temperatures and conditions are monitored, and that any integrity issues are identified, documented, and escalated immediately to the Laboratory Manager
  • Identify and resolve sample receipt discrepancies — communicating with clients, field Samplers, or delivery teams when samples arrive with missing, incomplete, or inaccurate documentation, and ensuring all issues are resolved before samples progress into the testing workflow

Documentation Management — Test Request Forms, Sample Reports & Chain of Custody

  • Ensure all required laboratory documentation is accurately and completely prepared for every sample — including Test Request Forms (TRF), Sample Report Forms, and Chain of Custody (CoC) documentation — maintaining the documentation standards required by Dubai Municipality regulations and laboratory quality management system requirements
  • Manage and maintain the laboratory’s Chain of Custody documentation — ensuring every transfer of sample custody within and outside the laboratory is documented accurately, timestamped, and signed by responsible parties — maintaining the full, unbroken audit trail that regulatory compliance and legal defensibility require
  • Support Data Feeders in completing test reports accurately and on time — reviewing draft reports for documentation completeness, flagging missing information or discrepancies, and coordinating with testing personnel to ensure all data is correctly entered before reports are finalized and delivered to clients

Sample Log Maintenance

  • Maintain a comprehensive, accurate, and current sample log recording all key sample information — including sample type, client name, receipt date, test request number, assigned testing unit, and current status — ensuring the log provides an accurate, real-time picture of every active sample in the laboratory at all times
  • Update the sample log promptly at every stage of the sample lifecycle — from initial receipt and submission to testing units through test completion, report preparation, and final report delivery — maintaining complete traceability for every sample that passes through the Microbiology Department
  • Use the sample log proactively to monitor pending and overdue samples — identifying samples approaching or exceeding turnaround time targets and escalating to the Laboratory Manager or relevant Unit Head before deadlines are missed

AMC Schedule Management & Sample Collection Coordination

  • Manage the AMC (monitoring contract) schedule — maintaining an accurate, up-to-date calendar of all contracted sample collection commitments, coordinating client confirmations, and ensuring all scheduled sample collections are completed on time and as agreed in client contracts
  • Coordinate sample collection logistics with field Samplers — providing Samplers with accurate, timely schedules and location information; confirming collection appointments with clients; and following up to confirm sample collection completion and sample return to the laboratory within required timeframes
  • Manage client communication related to AMC scheduling — confirming upcoming collection visits, notifying clients of any schedule changes, and ensuring that all changes to the AMC collection schedule are documented and communicated to all relevant parties promptly

Daily Sample Submission to Unit Heads

  • Submit all received and verified samples to the appropriate Microbiology Unit Heads daily — ensuring that samples are assigned to the correct testing unit based on the requested tests, that submission is completed promptly to support efficient laboratory workflow and turnaround time performance, and that all submission activities are accurately recorded in the sample log
  • Coordinate with Unit Heads to manage daily sample workloads — communicating anticipated sample volumes, flagging priority or time-sensitive samples, and supporting the efficient allocation of testing resources across the Microbiology Department’s daily workflow

Weekly Microbiology Report — Dubai Municipality Requirements

  • Prepare the weekly Microbiology report in compliance with Dubai Municipality requirements — compiling all required testing data, results, and statistical summaries in the format and within the timeframe specified by Dubai Municipality regulatory requirements, ensuring the report is accurate, complete, and submitted on time every reporting cycle
