Position Overview
The Warehouse & Logistics Manager (m/f/d) at CENTOGENE Rostock will manage all warehouse operations and logistics coordination for the company’s diagnostic and pharmaceutical sample flows. You will receive, register, and store goods and samples under required conditions, prepare and dispatch kits and shipments, process sales orders and inventory movements in Dynamics 365 Finance & Operations, maintain stock accuracy, monitor temperature records, organize import and export shipments with carriers and couriers, prepare shipping and customs documentation using ATLAS, ensure compliance with IATA DGR, UN3373, and UN1845 regulations for biological substances and dry ice, and collaborate daily with the Laboratory, Quality, Purchasing, and all internal departments requiring materials or logistics support.

Key Responsibilities
Warehouse Operations — Goods, Samples & Kits
- Receive and register all incoming goods and diagnostic samples — verifying quantities, condition, and documentation accuracy before storing items under the correct required conditions for their specific material type
- Prepare and dispatch kits and shipments accurately and on schedule — ensuring all outgoing materials are correctly packaged, labeled, documented, and coordinated with carriers for timely delivery
- Handle returns professionally and in compliance with applicable regulatory and quality requirements — processing returned goods and samples accurately and maintaining complete return documentation
- Monitor storage conditions across all warehouse areas — maintaining required temperature conditions for biological samples and pharmaceutical materials and keeping comprehensive, audit-ready temperature records
Microsoft Dynamics 365 — ERP Operations & Inventory
- Work daily in Microsoft Dynamics 365 Finance & Operations — processing and verifying sales orders, shipments, and all inventory movements with full data accuracy and timeliness
- Maintain stock accuracy through regular inventory counts and systematic discrepancy resolution — ensuring Dynamics 365 inventory data consistently reflects actual warehouse stock positions
- Plan and coordinate replenishment of packaging materials, consumables, and collection kits in collaboration with Purchasing and internal user departments — preventing stock-outs that could impact diagnostic operations
- Record and check all inventory movements in the ERP system — maintaining a complete and accurate audit trail for all goods receipts, sample registrations, kit dispatches, and stock adjustments
Import & Export Logistics — Customs & Carrier Management
- Organize all import and export shipments with international carriers and couriers — managing shipment tracking, resolving delays, clearing customs holds, and addressing missing documentation issues proactively
- Prepare all required shipping and customs documentation — including Air Waybills, commercial invoices, export declarations — using the ATLAS customs system in full compliance with German and European trade regulations
- Ensure full compliance with IATA DGR regulations for biological substances — managing UN3373 (Category B biological substances) and UN1845 (dry ice) shipments in accordance with all applicable international transport regulations
- Build and maintain productive working relationships with carriers, freight forwarders, courier services, and customs authorities — ensuring reliable and compliant logistics performance across all shipment types
Cross-Departmental Collaboration & Quality Support
- Work closely with the Laboratory, Quality, Purchasing, and all other internal departments requiring materials or logistics support — maintaining clear, timely, and professional communication across all stakeholder relationships
- Support internal departments with logistics planning for special shipments, urgent material requests, and sample collection campaign coordination — ensuring all operational requirements are met accurately and on time
- Contribute to continuous improvement of warehouse and logistics processes — identifying efficiency improvements, documentation enhancements, and compliance strengthening opportunities across all operational areas
- Ensure full health and safety compliance during manual goods handling — applying correct manual handling techniques and maintaining a safe, organized, and compliant warehouse working environment
Qualifications & Requirements
Educational & Professional Requirements
- Vocational training in logistics, forwarding, or a related field (e.g., Kaufmann/-frau für Spedition und Logistikdienstleistung) — or a degree in logistics, supply chain, or a comparable discipline
- 2–3 years of hands-on experience in warehouse and logistics operations — ideally with pharma, diagnostics, or laboratory experience including biological sample receiving and shipping
Technical Knowledge
- Hands-on experience with Microsoft Dynamics 365 Finance & Operations or a comparable ERP system — covering inventory management, sales and purchase order processing
- Customs experience ideally including practical ATLAS system usage — preparation of export declarations and management of customs documentation and clearance processes
