Position Overview
The Import & Export Operations Officer at Cypher Urban Roastery in Dubai is responsible for the complete coordination of international import and export shipments, ensuring full compliance with UAE and destination-country trade regulations while maintaining accurate documentation and efficient logistics execution. This role spans export coordination, import management of green coffee beans and packaging materials, cross-functional team collaboration, and regulatory compliance — all within the dynamic world of specialty coffee international trade.

Key Responsibilities
Export Operations & Documentation
- Coordinate export shipments from order confirmation through to final delivery at destination
- Prepare, review, and verify comprehensive export documentation including Commercial Invoices, Packing Lists, Bills of Lading, Air Waybills, Certificates of Origin, Phytosanitary Certificates, Health Certificates, Certificates of Conformity, and Insurance Certificates
- Liaise with customers, freight forwarders, shipping lines, customs brokers, and logistics partners to ensure timely shipment execution
- Book shipments, coordinate freight arrangements, and monitor shipment progress with proactive customer and stakeholder updates
- Ensure full compliance with destination-country import regulations and individual customer requirements at all times
- Coordinate product registrations with Dubai Municipality and other relevant regulatory authorities when required
- Arrange laboratory testing, maintain regulatory records, and coordinate pre-shipment samples and courier dispatches
Import Operations & Customs Coordination
- Coordinate the import of green coffee beans, packaging materials, and operational supplies from international origins
- Review and verify all import documentation to ensure full compliance with UAE Customs and regulatory requirements
- Coordinate with suppliers, freight forwarders, shipping lines, and customs clearance agents throughout the import cycle
- Follow up on original shipping documents and customs pre-clearance requirements ahead of vessel arrivals
- Monitor inbound shipment schedules and communicate accurate arrival updates to internal teams
- Track customs clearance progress and arrange timely delivery of cleared shipments to the warehouse
Cross-Functional Support & Compliance
- Collaborate with Sales, Procurement, Production, Warehouse, Finance, and Quality teams to support all operational requirements
- Ensure compliance with company policies, food safety standards, and international trade regulations across all operations
- Work with suppliers on packaging specifications, labels, bag markings, and shipping instructions for export-ready products
- Identify and resolve operational issues proactively to ensure uninterrupted supply chain activities
- Continuously seek opportunities to improve logistics efficiency, documentation accuracy, and process quality
Qualifications & Requirements
Experience Requirements
- Minimum 2–3 years of experience in import/export operations, logistics, freight forwarding, or international trade
- Working knowledge of UAE Customs procedures and international shipping documentation is essential
- Experience within the food & beverage, coffee, FMCG, or commodity trading industry is highly preferred
- 1+ years of experience in transportation, logistics, supply chain, or storage operations
Educational Requirements
- Diploma or Bachelor’s Degree in Logistics, Supply Chain, Business Administration, International Trade, or a related field is a distinct advantage
Essential Skills & Competencies
- Strong knowledge of import/export documentation and international shipping procedures, including Bills of Lading, certificates, and customs entries
- Good understanding of Incoterms, customs regulations, and international trade compliance requirements
- Excellent planning, organisation, and time management skills for managing multiple concurrent shipments
- Strong attention to detail and accuracy in all documentation and correspondence
- Proficiency in Microsoft Office, particularly Excel and Outlook, for shipment tracking and reporting
- Experience using ERP systems or logistics management software is a meaningful advantage
- Excellent communication and stakeholder coordination skills across internal teams and external logistics partners
