Position Overview
The Logistics Specialist — Merchandise at MAF Lifestyle in Dubai is responsible for executing end-to-end supply chain activities for the assigned Merchandise area — managing RFQs per ETE process, coordinating product registrations with regulatory bodies, validating service provider invoices, processing billing in relevant systems, monitoring daily store replenishments and returns, and providing timely logistics information to all internal and external stakeholders. This role demands strong attention to detail, excellent communication, and the ability to work across a high-volume, multi-site retail organisation with efficiency and accuracy.

Key Responsibilities
End-to-End Supply Chain Execution
- Execute all end-to-end supply chain activities for the assigned Merchandise area in line with MAF Lifestyle’s operational standards
- Manage and maintain the Request for Quotation (RFQ) process in accordance with ETE procedures and compliance-approved SLAs
- Monitor daily store replenishments, launch deliveries, store returns, and orders and deliveries of merchandise and non-merchandise items
- Ensure logistics operations are aligned with Visual Merchandising (VM) and Marketing requirements across all relevant store locations
Regulatory Compliance & Product Registration
- Register products with the relevant regulatory bodies and ensure all product certificates remain current and fully compliant
- Monitor compliance timelines and proactively follow up on pending registrations or expiring certification documentation
- Liaise with internal teams and regulatory authorities to ensure all merchandise meets UAE regulatory standards before distribution
- Maintain accurate records of all product registrations, regulatory submissions, and compliance documentation
Invoice Validation & Billing Management
- Validate all service provider invoices carefully to ensure charges are fully consistent with agreed contract terms and SLAs
- Submit billing invoices in relevant systems and ensure timely processing by the FSSC (Financial Shared Service Centre)
- Identify and flag any billing discrepancies or overcharges to the relevant finance and commercial stakeholders promptly
- Maintain accurate records of all validated invoices and submitted billing documentation for audit and reporting purposes
Stakeholder Management & Customer Service
- Provide exemplary customer service to all internal and external stakeholders — delivering relevant and timely logistics information
- Maintain strong professional relationships with suppliers, logistics providers, internal teams, and business stakeholders
- Proactively communicate supply chain updates, delivery statuses, and logistics issues to support sound business decision-making
- Collaborate effectively across Planning, Merchandising, VM, Marketing, Finance, and Operations teams to align logistics activities
Qualifications & Requirements
Educational Requirements
- Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a relevant related field
Experience Requirements
- 3–5 years of experience in supply chain and logistics operations — retail or merchandise logistics experience is preferred
- Exposure to a high-volume, multi-site retail organisation will be a significant advantage for this role at MAF Lifestyle
- Experience managing RFQ processes, invoice validation, and regulatory product registration in a compliance-driven environment
Essential Skills & Competencies
- Computer literacy in Microsoft Office — Word, PowerPoint, and Excel — for daily reporting, documentation, and analysis
- Effective verbal and written communication skills for clear, professional stakeholder engagement at all levels
