Position Overview
The Data Entry Operator at Exotic Colors in Abu Dhabi is a precision-focused, supply chain-embedded administrative role responsible for maintaining the accuracy and integrity of all purchase order, vendor, and procurement data across company systems and databases. You will prepare and compile documents, enter purchase order details, verify data accuracy, maintain delivery and invoice logs, update supplier lists, scan documents into the document management system, respond to internal data requests, and ensure full compliance with the company’s data integrity and confidentiality policies. Proficiency in MS Excel, Word, and Outlook is essential, as is bilingual accuracy in Arabic and English for all documentation. UAE office work experience is preferred and will significantly strengthen your application for this Abu Dhabi supply chain data entry role.
Why This Role Matters: As Data Entry Operator on Exotic Colors’ Supply Chain team in Abu Dhabi, the accuracy of every purchase order you enter and every supplier record you maintain directly determines whether the procurement and supply chain functions operate smoothly or encounter preventable disruptions. A mistyped quantity in a purchase order, an outdated supplier contact in the vendor list, or an unrecorded invoice creates ripple effects across purchasing, accounting, and operations that waste time, cost money, and erode trust. Your attention to detail, typing accuracy, and commitment to data integrity are not back-office support functions — they are the foundation of a well-functioning supply chain operation.
Key Responsibilities
Data Entry & Purchase Order Processing
- Prepare, compile, and sort all documents required for data entry — ensuring incoming procurement documents are organised, complete, and ready for accurate entry into company systems before processing begins
- Enter purchase order details — including vendor information, item descriptions, quantities, pricing, and relevant reference codes — into prescribed company databases and files with high accuracy and attention to detail
- Verify data accuracy consistently — reviewing entered data against source documents to identify and correct errors before they are saved, ensuring the integrity of all purchase order records in the system
- Respond promptly and professionally to data and file requests from internal teams — retrieving, printing, and delivering requested information in a timely manner that supports the operational needs of the Supply Chain and Procurement functions
Records Maintenance & Documentation Management
- Maintain accurate and up-to-date logs and records of purchases, deliveries, and invoices — ensuring all procurement transactions are documented completely and can be retrieved quickly when required by the Procurement Officer or management
- Update supplier lists regularly as directed by the Procurement Officer — ensuring vendor contact details, pricing agreements, and supplier status records are current, accurate, and reflect the company’s active procurement relationships
- Scan documents into the document management system as needed — ensuring physical procurement documents are digitised, indexed correctly, and accessible within the company’s electronic filing system
- Retrieve and print information upon request — supporting the Procurement Officer and other team members with timely access to purchase records, supplier documentation, and procurement history data
Data Integrity, Compliance & Confidentiality
- Ensure full compliance with the company’s data management, integrity, and confidentiality policies — treating all supplier pricing, vendor contract details, and procurement data with the appropriate level of discretion and security
- Handle all sensitive procurement data — including pricing, terms, and supplier information — in accordance with company confidentiality requirements and UAE data management best practices
- Identify and flag data inconsistencies, duplicate records, or documentation gaps to the Procurement Officer — maintaining the overall quality and reliability of the Supply Chain team’s data environment
Administrative Support
- Perform additional administrative tasks as assigned by management — supporting the broader Supply Chain and Procurement team with clerical, communication, and organisational tasks as operational requirements demand
- Manage professional email communication using Microsoft Outlook — responding to internal and external data requests clearly, promptly, and professionally in both Arabic and English
- Assist the Procurement Officer with document organisation, filing, and data compilation tasks — contributing to the overall efficiency and accuracy of the supply chain administrative function
Qualifications & Requirements
Education
- High school diploma or equivalent — required as the minimum educational qualification for this Data Entry Operator position at Exotic Colors Abu Dhabi
- Formal computer training or a diploma/certificate in office administration, IT, or a related field is a meaningful advantage and may accelerate career progression within the company
Experience
- Previous experience in data entry, clerical work, or administrative support roles is a plus — particularly within a UAE office, supply chain, or procurement environment
- Prior UAE office work experience is specifically preferred — familiarity with UAE business practices, procurement documentation standards, and office communication norms is a meaningful competitive advantage
Technical Skills
- Proficiency in Microsoft Office applications — particularly Excel (data entry, spreadsheet management, basic formulas), Word (document preparation), and Outlook (email communication and file management)
- Strong typing skills with a high level of accuracy — able to maintain both speed and precision during sustained data entry work without compromising record accuracy
- Familiarity with document management systems, scanning, and digital filing — comfortable with the full cycle of physical document digitisation and electronic record management
Language Requirements
- Familiarity with correct spelling, grammar, and punctuation in both Arabic and English — required for accurate bilingual data entry, document preparation, and email communication across Exotic Colors’ supply chain operations
- Strong written communication skills in English — for professional email correspondence and internal documentation in Microsoft Outlook
Personal Competencies
- Excellent attention to detail and organisational skills — non-negotiable in a data entry role where errors in purchase orders, supplier records, or invoice logs have direct operational consequences
- Ability to work under pressure and manage multiple tasks simultaneously — comfortable handling concurrent data entry assignments, record update requests, and administrative tasks in a busy procurement environment
