Position Overview
This Supply Chain Specialist / Customer Service Representative role involves managing day-to-day order and delivery operations for Ecolab Engineering GmbH at its Siegsdorf Upper Bavaria facility. You will independently record orders and deliveries in SAP, handle customer and supplier correspondence in both German and English, prepare accurate invoices and export documentation, actively monitor delivery timelines to ensure on-time performance, and maintain the international debtor database. Key Responsibilities
SAP Order & Delivery Management
- Record incoming orders, deliveries, and related transactions independently and accurately in SAP
- Process orders through the full lifecycle from initial entry through delivery confirmation and closure
- Ensure data accuracy and integrity across all SAP order management entries and records
- Identify discrepancies between orders and deliveries and resolve them proactively with stakeholders
Customer & Supplier Correspondence
- Handle independent customer and supplier correspondence professionally in both German and English
- Respond to customer inquiries regarding orders, delivery status, and documentation requirements
- Coordinate with international suppliers ensuring smooth communication and timely responses
- Maintain professional, accurate, and brand-consistent communication standards at all times
Invoice & Export Documentation
- Prepare accurate and compliant invoices for domestic and international customer shipments
- Create complete export documents meeting international trade and customs requirements
- Ensure all export documentation aligns with applicable legal and regulatory requirements
- Coordinate with finance and logistics teams to resolve any documentation discrepancies promptly
Delivery Monitoring & Timeline Management
- Actively monitor delivery timelines ensuring on-time performance for all customer shipments
- Identify potential delivery delays early and coordinate with relevant teams to mitigate risks
- Communicate proactively with customers regarding delivery status updates and any changes
- Track supplier delivery commitments ensuring inbound materials support production and fulfillment
International Debtor Database Maintenance
- Maintain and update the international debtor database with accuracy and completeness
- Ensure debtor records reflect current account status, contact details, and transaction history
- Support accounts receivable processes through accurate and timely database management
- Coordinate with finance team on debtor queries and account reconciliation requirements
Qualifications & Requirements
Educational Requirements
- Completed commercial vocational training, preferably as Industrial Clerk (Industriekaufmann/-frau)
- Comparable commercial or logistics vocational qualification accepted for suitably experienced candidates
- Additional training or certification in supply chain management or logistics operations advantageous
Experience Requirements
- Several years of professional experience in a comparable supply chain or customer service role preferred
- Practical background in order management, export documentation, or customer service operations valued
- Experience working within internationally oriented companies or cross-border logistics environments
- Interest in technical contexts and comfort working with complex measurement and dosing systems environment
Technical Skills
- Good SAP skills required for order entry, delivery processing, and database management tasks
- Proficient MS Office skills including Excel, Word, and Outlook for daily operational work
- Familiarity with export documentation requirements and international trade compliance standards
- Ability to work efficiently with ERP systems and digital supply chain management tools
