Position Overview
This Logistics Coordinator role at Wood in Abu Dhabi is a full-time, on-site EPCM project logistics position responsible for planning, coordinating, and monitoring all logistics activities relating to project materials, equipment, and international shipments for a major ADNOC project. You will develop and implement logistics plans aligned with project schedules; coordinate multi-modal freight arrangements (air, sea, and land) with freight forwarders, shipping lines, and customs brokers; prepare and review shipping documentation including commercial invoices, packing lists, and certificates of origin; ensure compliance with UAE customs regulations and ADNOC project standards; manage import and export permits and clearance processes; monitor inventory levels and coordinate material storage at site and warehouse; track all shipments for on-time delivery; and maintain logistics KPI reports and risk mitigation plans for project management. Key Responsibilities
Logistics Planning & Transportation Coordination
- Develop and implement comprehensive logistics plans fully aligned with the EPCM project schedule — ensuring material and equipment delivery timelines support construction milestones and project critical path requirements
- Coordinate transportation of project materials and equipment from vendors to project sites across local and international routes — managing the full logistics chain from vendor dispatch to site receipt
- Arrange multi-modal freight solutions — air, sea, and land — selecting and optimizing cost-effective shipping options that balance delivery speed, cost, and risk across the project’s diverse supply base
- Liaise closely with procurement, expediting, and construction teams to ensure logistics plans are integrated with procurement lead times and site construction readiness requirements
Freight Management & Shipping Documentation
- Manage relationships with freight forwarders, shipping lines, and customs brokers — ensuring contracted service providers deliver the performance, compliance, and cost efficiency that the project requires
- Prepare, review, and verify all shipping documents — including Commercial Invoices, Packing Lists, Certificates of Origin, Bills of Lading, and other documents required for UAE customs clearance and project traceability
- Track all shipments in transit — monitoring ETAs, vessel movements, customs clearance progress, and last-mile delivery status to ensure on-time arrival at project sites
- Resolve shipment delays, damages, shortages, or documentation discrepancies promptly and professionally — coordinating with forwarders, vendors, and project teams to implement corrective actions and protect project timelines
Customs Compliance & Import/Export Management
- Ensure full compliance with UAE customs regulations, ADNOC project import requirements, and applicable international trade regulations across all project shipments — maintaining zero tolerance for customs non-compliance
- Handle import and export permits, temporary import arrangements, and customs clearance processes — coordinating with customs brokers and UAE authorities to ensure smooth and timely cargo release
- Maintain up-to-date knowledge of UAE customs procedures, port operations, and ADNOC-specific logistics requirements — proactively identifying and addressing compliance risks before they impact project delivery
- Ensure all logistics activities comply fully with ADNOC standards and HSE policies — maintaining the safety and regulatory integrity that ADNOC project operations demand across all logistics activities
Inventory Management, Reporting & Risk Mitigation
- Monitor inventory levels across site and warehouse locations — coordinating material storage, handling, preservation, and issuance in support of construction activities and project material management requirements
- Support the site team with material issuance, tracking, and inventory reconciliation — ensuring the project’s material management system accurately reflects physical stock and delivery status at all times
- Maintain comprehensive logistics reports, shipment status dashboards, and KPI tracking systems — providing regular, accurate updates to project management on logistics performance, risks, and upcoming delivery milestones
- Identify logistics risks proactively — developing and proposing practical, commercially sound mitigation plans that protect project schedule and budget from supply chain disruptions
Qualifications & Requirements
Educational Requirements
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a closely related field
- Certification in Supply Chain or Logistics — such as CILT (Chartered Institute of Logistics and Transport) or APICS — is a meaningful advantage and strongly preferred
Experience Requirements
- Minimum 10 years of logistics experience specifically in Oil & Gas, EPC, or EPCM project environments — ADNOC Gas or ADNOC project experience is specifically preferred and highly valued
- Demonstrated experience in large-scale gas processing, offshore, or onshore energy project logistics — managing the complexity of multi-vendor, multi-modal, international project supply chains
- Strong knowledge of international shipping, Incoterms, and UAE customs and port operations — including practical experience with UAE customs clearance, import/export permits, and ADNOC project logistics procedures
