Position Overview
This Logistics Manager role at Helsing in Munich is a senior, operationally demanding, and mission-critical position within one of Europe’s most exciting and strategically important defence AI companies. The Logistics Manager will hold full ownership of Helsing’s entire shipping and transport operations — standardising processes, optimising freight costs, managing carrier and freight forwarder performance, and ensuring reliable, on-time delivery to government and defence customers. The role covers planning and managing end-to-end inbound and outbound shipping processes, organising domestic and international transportation, handling complex dangerous goods shipments in compliance with ADR, IATA, and IMDG regulations, preparing customs and export documentation, managing cross-functional interfaces between production, export control, procurement, customs, and customers, and tracking KPIs for delivery performance. Business-fluent proficiency in both German and English is required, along with SAP/Oracle experience, Jira familiarity, and in-depth knowledge of international shipping, customs clearance, and foreign trade law.
Why This Role Matters: At Helsing, the Logistics Manager is not simply moving parcels — you are ensuring that the mission-critical technology, equipment, and materials that protect European democracies reach their destinations safely, on time, and in full compliance with the complex international trade, export control, and dangerous goods regulations that govern defence supply chains. Your logistics leadership directly supports Helsing’s ability to deliver on government contracts and fulfil its mission to protect open societies through AI-powered defence capabilities.
Key Responsibilities
End-to-End Shipping & Transport Management
- Plan, manage, and optimise end-to-end shipping processes for both inbound and outbound logistics across Helsing’s operations
- Organise and coordinate domestic and international transportation — ensuring reliable, on-time delivery to defence and government customers
- Manage, evaluate, and improve the performance of freight forwarders, carriers, and logistics service providers
- Optimise freight and shipping costs — delivering sustainable improvements without compromising delivery reliability or compliance
Dangerous Goods Compliance — ADR, IATA, IMDG
- Handle and monitor dangerous goods shipments in full compliance with ADR (road), IATA (air), and IMDG (sea) regulatory standards
- Prepare and verify all required dangerous goods documentation, including shipping declarations, labels, and classification records
- Ensure all dangerous goods processes, packaging, and carrier communications meet applicable German and international regulations
- Apply Gefahrgutbeauftragter expertise (where applicable) to maintain Helsing’s dangerous goods compliance across all transport modes
Customs, Export Control & Documentation
- Prepare, verify, and manage all shipping and customs documentation for international freight movements and defence equipment deliveries
- Manage cross-functional interfaces between production, export control, procurement, customs, and customers on all shipping matters
- Apply knowledge of export control regulations (ITAR, EAR, and EU dual-use regulations) to support compliant defence supply chain operations
- Coordinate security clearance procedures and vetted supply chain management as required for sensitive defence shipments
KPI Management, Standards & Continuous Improvement
- Establish clear, auditable logistics standards that ensure consistent, reliable, and compliant shipping and transport operations at Helsing
- Ensure on-time delivery tracking and monitor overall delivery performance against defined KPIs — reporting to senior leadership
- Continuously develop and improve the logistics team’s capabilities — through coaching, training, and structured process improvement
- Use SAP, Oracle, Jira, and advanced MS Excel to manage logistics data, reporting, and operational performance tracking
Qualifications & Requirements
Educational Requirements
- Degree in Logistics, Supply Chain Management, or a comparable qualification — or completed commercial apprenticeship in freight forwarding/logistics with extensive professional experience
- Certified Dangerous Goods Safety Advisor (Gefahrgutbeauftragter, e.g., IHK) is highly preferred — additional IATA and IMDG qualifications are a strong advantage
Experience Requirements
- Professional experience in shipping logistics, transport management, and/or freight forwarding in an international context
- In-depth expertise in international shipping, transport operations, customs clearance, and foreign trade law
- Solid and demonstrable knowledge of ADR dangerous goods regulations and classification for road transport — and ideally IATA and IMDG
- Professional background in the defence or security sector — handling sensitive goods, vetted supply chains, ITAR/EAR — is a significant advantage
Essential Skills
- Proficiency with ERP systems (SAP or Oracle), Jira, and MS Office — particularly Excel — for logistics operations and KPI reporting
- Business-fluent proficiency in both German and English (written and spoken) — required for all internal and external communications
