Position Overview

Suterra in Bend, Oregon is seeking a detail-oriented and analytically strong Supply Chain Coordinator to provide the insight, organisation, and cross-functional analysis that powers its production and purchasing plans. You will manage the full purchase order lifecycle, support the production and maintenance teams with material and spare parts availability, maintain and reconcile inventory in the ERP system, allocate raw materials using First Expired First Out (FEFO) protocols, report daily KPIs, and partner with Quality, Production, and Engineering teams to identify and resolve raw material issues and drive continuous supply chain improvements.  Key Responsibilities

Purchase Order Lifecycle Management

  • Create, approve, and place purchase orders for both inventoried and non-inventoried goods — managing the full procurement cycle from initial requisition through delivery confirmation and invoice resolution
  • Manage all open purchase orders proactively — coordinating delivery dates with vendors, optimising delivery timing to support the production schedule, and preventing supply disruptions that could impact manufacturing output
  • Record vendor confirmations accurately, maintain purchase orders in the ERP system with the latest confirmed details, and communicate any schedule or specification changes promptly to the internal team
  • Serve as the primary day-to-day contact point for all vendor order-related questions — managing vendor relationships professionally and working with Accounts Payable to resolve invoice discrepancy issues efficiently

Production & Plant Support

  • Work closely with the production team to ensure all non-inventoried and consumable supplies are consistently available and ready for production use — preventing line stoppages caused by material shortages
  • Coordinate with the maintenance team to ensure spare parts and critical supplies are available in advance for all scheduled preventative maintenance activities and unplanned repair needs across the facility
  • Report production results and supply chain performance via Key Performance Indicators (KPIs) on a daily basis — providing clear, accurate operational visibility to production management and cross-functional stakeholders
  • Provide instruction and prepare ad hoc documentation for operational issue management — including inspection records for quality control, material identification placards, and process descriptions for tracking material flow and production disruptions

Inventory Management & ERP Operations

  • Utilise the Enterprise Resource Planning (ERP) software platform to reconcile all physical inventory activities and material movements with electronic records — ensuring accuracy for financial reconciliation and audit readiness
  • Ensure correct receipt of all inventoried materials and consumable supplies — verifying quantities, quality, and documentation at the point of receiving to maintain inventory integrity across the Bend facility
  • Allocate and track raw materials using First Expired First Out (FEFO) protocols — ensuring environmental compliance, preventing material waste, and maintaining full quality traceability across all production batches
  • Play a key role in managing the facility’s inventory control program — including labelling, physical placards, and cycle counts — to maintain accurate, well-organised stock across all material categories

Continuous Improvement & Cross-Functional Collaboration

  • Partner actively with Quality, Production, and Engineering teams to identify the root causes of raw material quality issues — working cross-functionally to propose and implement solutions that uphold quality, delivery, and cost performance
  • Generate and rigorously assess proposals for supply chain improvements — including changes in suppliers, buying patterns, storage space allocation, and inventory management strategies that support Suterra’s rapid business growth
  • Contribute to the development of ERP best practices and CMMS integration improvements — working toward becoming a recognised subject matter expert in both systems within the Oregon facility
  • Maintain vendor information accurately in the ERP system and continuously evaluate supplier performance — supporting strategic sourcing decisions and vendor relationship development that strengthen Suterra’s supply chain resilience

Qualifications & Requirements

Experience Requirements

  • Previous experience in manufacturing, quality control, procurement, logistics, supply chain management, or a closely related operational field is required for this Bend, Oregon Supply Chain Coordinator role
  • Demonstrated hands-on ability to solve operational problems while effectively mitigating risks to resources, timelines, and production schedules in a fast-paced manufacturing environment
  • Prior experience working with ERP systems in a manufacturing, procurement, or inventory management context is a strong practical advantage for this role

Essential Skills

  • Strong written and oral communication skills — essential for cross-functional coordination with Production, Quality, Engineering, Accounts Payable, and external vendors across a complex manufacturing operation
