Position Overview

The HR Executive at Medetone Dubai will support the Human Resources department across its full range of day-to-day HR operations — covering employee records management, recruitment support, new hire onboarding and offboarding coordination, payroll and benefits administration, employee HR queries, engagement activity organization, and HR project support.  Key Responsibilities

Employee Records & HR Documentation

  • Maintain accurate and fully up-to-date employee records across all Medetone offices — ensuring all information is confidential and compliant with data protection regulations in each jurisdiction
  • Manage and organize all HR documentation including employment contracts, amendments, certificates, and correspondence in a structured and easily retrievable filing system
  • Ensure all HR records meet the relevant data privacy and protection requirements applicable across the UAE, UK, Netherlands, and USA regulatory environments
  • Support HR reporting requirements by maintaining accurate employee data that enables timely and reliable HR analytics and management information

Recruitment Support & Coordination

  • Assist the full recruitment process — including posting job vacancies across relevant platforms, screening incoming CVs, scheduling interviews, and coordinating all candidate communications
  • Maintain the recruitment tracker and applicant management system — ensuring all candidate applications are properly recorded, progressed, and communicated throughout the hiring process
  • Coordinate interview logistics across four time zones — scheduling meetings efficiently for London, Amsterdam, New York, and Dubai hiring managers and candidates
  • Support employer branding and candidate experience initiatives — helping ensure every candidate interaction reflects Medetone’s professional, innovative, and people-first reputation

Onboarding, Offboarding & Employee Lifecycle

  • Support new hire onboarding end-to-end — preparing comprehensive welcome materials, coordinating orientation schedules, and ensuring every new employee has the resources and support they need from day one
  • Assist with offboarding processes when required — coordinating system access removal, exit interviews, and all related documentation in a professional and timely manner
  • Act as a first point of contact for employee HR-related inquiries — providing clear, accurate, and professional guidance on policies, procedures, and general workplace matters
  • Ensure all onboarding and offboarding processes are consistent, compliant, and reflect Medetone’s inclusive and welcoming team culture across all four global offices

Payroll, Benefits, Engagement & HR Projects

  • Collect and verify employee information for payroll processing — working accurately with payroll providers and ensuring all data is submitted on time and without errors
  • Assist with benefits administration as needed — addressing employee queries about payroll, benefits, entitlements, and HR policies with professionalism and discretion
  • Help organize and participate in employee engagement activities, team events, and wellbeing programmes that promote a positive and inclusive work culture across all offices
  • Support HR projects such as policy updates, new system implementations, and process improvement initiatives — contributing proactive ideas to enhance HR effectiveness and employee satisfaction

Qualifications & Requirements

Educational Requirements

  • Degree or diploma in Human Resources Management, Business Administration, Psychology, or a related field from a recognized university or institution
  • Previous experience in an HR, administrative, or people operations role is a distinct advantage — though motivated candidates without direct HR experience will be genuinely considered
