Position Overview

The Import & Logistics Planner at Westfalia Fruit Munich sits within the Supply Chain team, reporting directly to the Head of Supply Chain. This is a genuinely operational role — not a desk-bound planning position. Day to day, you will manage import documentation for overseas shipments, coordinate outbound deliveries across Germany and beyond, track vessel arrivals, and keep internal teams and external partners fully informed. You will be the connective tissue between warehouses, logistics providers, suppliers, and customers — ensuring products arrive on time, in full, and to specification. FMCG or fresh produce supply chain experience is essential for this role.

 Key Responsibilities

Import Documentation & Shipment Management

  • Manage and verify all import documentation for overseas shipments, including packing lists, invoices, bills of lading and certificates of origin
  • Enter shipment data accurately into the ERP system and keep all stakeholders informed of arrivals, delays and changes in real time
  • Track vessel arrivals and maintain precise shipment and stock records to prevent disruption to inbound supply
  • Work closely with the Quality team to follow up on supplier certifications and resolve issues related to incoming stock quality

Outbound Logistics & Delivery Coordination

  • Coordinate daily outbound deliveries across Germany and additional European markets to ensure products reach customers on time and in full
  • Plan and prioritise orders based on customer requirements, confirmed delivery schedules, and product readiness at warehouse level
  • Ensure all outbound documentation — invoices, delivery notes, and dispatch records — is accurate, complete, and issued on time
  • Identify and escalate risks to delivery timelines, stock quality, or supply continuity before they impact customers

Cross-Functional Supply Chain Collaboration

  • Work closely with warehouse, logistics planning, and demand and supply planning (D&SP) teams to maintain smooth and efficient daily operations
  • Serve as a key coordination point across internal teams and external logistics partners, keeping communication clear and actions moving
  • Support continuous process improvement initiatives and contribute to building more efficient ways of working across the supply chain

Data, Reporting & ERP Systems

  • Use ERP and transportation management systems daily for shipment tracking, inventory management, and packing list control
  • Apply strong Excel and Power BI skills to analyse supply chain data and produce clear, accurate reporting for the Head of Supply Chain
  • Maintain data accuracy across all logistics records, ensuring information is always up to date for internal and external stakeholders

Qualifications & Requirements

Experience Requirements

  • Proven experience in import documentation, logistics planning, or supply chain operations — preferably within FMCG or fresh produce sectors
  • Strong background in managing import and export paperwork including bills of lading, commercial invoices, packing lists, and certificates
  • Demonstrated ability to work in a fast-paced, high-volume operational environment managing multiple moving parts simultaneously

Technical Skills

  • Proficiency in ERP systems and transportation management platforms for inventory, tracking, and shipment management
  • Advanced Excel skills and experience with Power BI for data analysis and logistics reporting
  • Familiarity with fresh produce supply chains, cold chain logistics, or perishable goods management is a strong advantage

Language & Communication Skills

  • Fluency in German at minimum B2 level is essential — daily communication with German-speaking partners, warehouses, and logistics providers
  • Business-level English proficiency is a strong plus, given the international scope of Westfalia Fruit’s global operations
  • Excellent stakeholder management and communication skills — ability to keep multiple teams aligned under pressure
