Position Overview
The Inventory Assistant at IIQAF Group in Dubai assists with all daily inventory management and stock control activities across the hospitality operation — receiving and inspecting incoming goods against purchase orders and delivery notes, verifying quantities, quality, damage, and expiry dates, recording all stock movements in the inventory management system, coordinating with purchasing, kitchen, housekeeping, and food and beverage teams, preparing inventory reports, identifying variances and losses, maintaining organised and compliant storage areas, and supporting inventory supervisors with general stock control and administrative duties.

Key Responsibilities
Goods Receiving, Inspection & Verification
- Receive all incoming goods, supplies, materials, food items, beverages, housekeeping supplies, and hospitality inventory at the receiving dock
- Check all delivered items carefully against purchase orders, delivery notes, invoices, and receiving documents — ensuring full accuracy
- Inspect items thoroughly for quantity, quality, damage, expiry dates, and correct product specifications before acceptance
- Raise and document any discrepancies, damaged items, or incorrect deliveries promptly and coordinate resolution with suppliers and purchasing teams
Inventory Recording, Stock Control & FIFO Management
- Record all stock receipts, issues, internal transfers, returns, and adjustments accurately in the inventory management system or ERP platform
- Count and verify physical inventory accurately during routine cycle counts, spot checks, and periodic full inventory counts
- Apply FIFO (First-In-First-Out) and FEFO (First-Expired-First-Out) inventory rotation principles across all food and beverage storage areas
- Monitor stock levels continuously and flag low-stock situations, potential shortages, or excess inventory to inventory supervisors
Stock Reporting, Variance Identification & Documentation
- Assist in preparing daily, weekly, and monthly inventory and stock reports for management review and purchasing decision support
- Help identify inventory variances, shortages, damages, wastage, and potential losses — documenting findings accurately for follow-up action
- Maintain confidentiality and accuracy when handling all inventory records, purchasing information, and stock movement documentation
- Support inventory reconciliation activities — comparing physical counts against system records and investigating identified discrepancies
Storage Management, Hygiene & Compliance
- Ensure all storage areas — dry stores, cold rooms, beverage stores, housekeeping stores — are clean, organised, secure, and compliant with standards
- Follow all hospitality food safety, hygiene, health, and workplace safety procedures across all inventory and storage activities
- Ensure proper product labelling, identification, and segregation within storage areas to support traceability and FIFO compliance
- Support warehouse organisation activities to ensure efficient product access, safe storage, and a clean working environment at all times
Cross-Departmental Coordination & Team Support
- Coordinate with purchasing, suppliers, warehouse staff, kitchen, housekeeping, and food and beverage teams regarding all inventory requirements
- Process stock requisitions from internal departments — picking and issuing items accurately while maintaining issuance records in the system
- Support inventory supervisors and warehouse teams with general stock control, administrative duties, and special stock projects as required
- Maintain accurate stock issue records and ensure all internal transfers are properly documented for reporting and reconciliation purposes
Qualifications & Requirements
Educational Requirements
- High school diploma, diploma, or equivalent qualification — a formal educational background in a relevant field is preferred
Experience Requirements
- Previous experience as an Inventory Assistant, Inventory Clerk, Stock Assistant, Store Assistant, Warehouse Assistant, or similar role
- Experience in inventory control, stock management, warehouse operations, or materials management in any industry
- Hospitality, hotel, restaurant, catering, food and beverage, or retail inventory experience is specifically preferred for this role
- Familiarity with purchase orders, delivery notes, goods receiving, stock requisitions, and inventory documentation procedures
Technical Skills & Competencies
- Basic knowledge of inventory management and stock control procedures — FIFO, FEFO, cycle counting, and reconciliation practices
- Familiarity with inventory software, ERP systems, or stock management systems for daily recording and reporting
- Ability to work with spreadsheets and produce basic inventory reports using Excel or similar tools
- Good understanding of stock counting, goods receiving inspection, and inventory reconciliation procedures in a hospitality context
