Position Overview
The Logistics Coordinator at IIQAF Group Dubai is a central operational role managing daily logistics activities across a multi-facility hospitality operation. You will coordinate transportation schedules, track shipments, liaise with suppliers and vendors, monitor inventory levels, support procurement teams, prepare logistics documentation, optimize delivery routes, control logistics costs, and ensure full compliance with food safety and storage requirements. Key Responsibilities
Daily Logistics Operations & Transportation
- Coordinate daily logistics operations, deliveries, and transportation schedules across all IIQAF Group hospitality facilities including hotels, restaurants, and catering services
- Plan and monitor the movement of food products, beverages, hospitality supplies, equipment, and operational materials from suppliers to facilities
- Track all active shipments in real time — resolving delivery delays, logistics disruptions, and vendor issues promptly to minimize operational impact
- Optimize transportation routes and delivery schedules to improve operational efficiency and reduce overall logistics costs across the group
Supplier, Vendor & Warehouse Coordination
- Coordinate closely with suppliers, vendors, warehouses, transport providers, and internal departments to ensure timely and accurate deliveries across all hospitality operations
- Maintain strong professional relationships with freight partners, food suppliers, and equipment vendors — ensuring service quality and delivery reliability
- Coordinate warehouse receiving activities, stock transfers, and outbound distribution to hospitality facilities and catering events
- Assist with hospitality events by coordinating equipment supply, consumable delivery, and full event logistics support
Inventory Management & Stock Control
- Monitor inventory levels continuously across all relevant facilities — coordinating timely stock replenishment to prevent shortages that could disrupt hotel, restaurant, or catering operations
- Maintain accurate logistics records including inventory reports, shipping documents, delivery schedules, and stock transfer documentation
- Monitor logistics costs and proactively recommend process improvements to reduce transportation, storage, and handling expenses
Procurement Support & Documentation
- Support procurement and purchasing teams with order tracking, supplier coordination, and delivery confirmation activities
- Prepare and manage purchase orders, delivery notes, supplier invoices, and all associated logistics documentation accurately and on time
- Ensure full compliance with food safety regulations, cold chain storage requirements, and company logistics procedures across all deliveries and handling activities
Reporting & Performance Management
- Generate regular logistics performance reports and maintain key performance indicators (KPIs) for transportation efficiency, delivery accuracy, inventory levels, and cost control
- Use ERP systems, warehouse management systems (WMS), inventory software, and logistics platforms to track, manage, and report on all logistics activities
- Prepare data-driven analysis in Microsoft Excel to support management decision-making on logistics strategy and supplier performance
Qualifications & Requirements
Educational Requirements
- Bachelor’s degree or diploma in Logistics, Supply Chain Management, Business Administration, Operations Management, or a closely related field
Experience Requirements
- Previous experience as a Logistics Coordinator, Supply Chain Coordinator, Logistics Executive, Warehouse Coordinator, Distribution Coordinator, Inventory Coordinator, Procurement Coordinator, or Operations Coordinator
- Prior experience in hotels, restaurants, catering companies, hospitality groups, retail, or FMCG industries is highly desirable for this role
- Working experience with ERP systems, WMS platforms, inventory management software, or logistics management tools
Required Skills & Competencies
- Strong knowledge of logistics operations, inventory management, warehouse procedures, transportation coordination, and procurement support processes
- Proficiency in Microsoft Office — particularly Excel for data analysis, Word for documentation, and Outlook for vendor and supplier communication
