- Schedule deliveries, replacements, relocations, and collections efficiently — ensuring all equipment movements are planned in advance and confirmed with customers, drivers, and yard teams
- Coordinate with transporters, drivers, and yard teams consistently to ensure all equipment movements are executed on time, safely, and in line with customer commitments and operational priorities
- Monitor equipment movement status in real time — proactively communicating delays, changes, or issues to relevant teams and customers before they impact project timelines or customer satisfaction
Route Planning, GPS Tracking & KPI Monitoring
- Optimize vehicle routing and load planning for all equipment movements — minimizing idle time, reducing transportation costs, and maximizing the number of productive equipment movements per day
- Monitor transportation KPIs — including on-time delivery rate, turnaround time, transporter performance, and cost per movement — providing management with regular, accurate performance reporting
- Track GPS and fleet movement data for all transport vehicles — using location data to improve planning accuracy, report on delivery status, and identify patterns that support future route optimization
- Support management with logistics planning for new projects, peak season demand, or special customer requirements — providing clear movement plans and resource requirements with adequate advance notice
Cross-Department Coordination & Sales Support
- Collaborate closely with Sales, Service, and Operations teams for scheduling, job planning, and equipment deployment — ensuring logistics planning is fully aligned with commercial priorities and operational requirements
- Communicate equipment availability and movement status clearly and proactively across all internal teams — eliminating information gaps that lead to missed deliveries, scheduling conflicts, or customer dissatisfaction
- Support the Sales team with urgent deliveries and time-sensitive customer commitments — responding quickly to last-minute requests while protecting the overall efficiency of the logistics schedule
- Participate in cross-functional planning meetings — contributing logistics expertise and movement capacity data to sales planning, equipment allocation, and customer commitment discussions
Documentation, Compliance & ERP System Management
- Prepare and maintain all logistics documentation — including delivery notes, collection reports, gate passes, movement permits, and transporter records — ensuring accuracy, completeness, and proper filing
- Ensure full compliance with UAE local transport regulations and company standard operating procedures (SOPs) for all equipment movements and transportation activities across the UAE
- Maintain the equipment movement tracker and update ERP/system records accurately and in real time — ensuring management, operations, and sales teams always have access to current, reliable movement data
- Support asset team in physical audits of equipment across yards and branches — verifying ERP records against physical inventory and resolving discrepancies promptly with supporting documentation
Vendor & Transporter Management · Inventory & Reporting
- Coordinate with third-party transporters and monitor their performance consistently — holding vendors accountable to agreed service levels, response times, and cost commitments
- Negotiate transport rates with external providers — maintaining cost control and achieving competitive pricing without compromising service quality or equipment safety during transport
- Track transporter invoices and reconcile movements with billing — ensuring all third-party logistics costs are accurately recorded, validated against movement records, and processed for payment on time
- Monitor yard stock of available, under-maintenance, and actively rented equipment — coordinating internal transfers between branches for demand balancing across the multi-location UAE operation
Qualifications & Requirements
Educational Requirements
