Position Overview
This Shipping Coordinator role manages the complete shipment lifecycle across air, sea, road, and courier networks for Caterpillar’s Middle East operations. You will prepare and validate export documentation, ensure UAE Customs and Free Zone compliance, monitor shipment progress, resolve transportation exceptions, and produce logistics KPI reports covering on-time delivery, transit performance, and documentation accuracy.

Key Responsibilities
Shipment Coordination
- Coordinate end-to-end inbound and outbound shipments across air, sea, road, and courier networks
- Manage shipment bookings with freight forwarders and logistics providers
- Monitor shipment progress from origin to final destination
- Resolve shipment delays, documentation issues, and transportation exceptions proactively
Export & Import Documentation
- Prepare and validate Commercial Invoices, Packing Lists (CIPL), certificates, and declarations
- Verify commodity descriptions, HS codes, values, origin information, and Incoterms
- Support customs clearance through accurate and timely documentation submission
- Maintain audit-ready shipping and compliance records
Customs & Trade Compliance
- Ensure compliance with UAE Customs regulations and Free Zone requirements
- Coordinate customs mapping and product classification activities
- Support import and export compliance across multiple regions
- Assist with customs audits, investigations, and corrective actions
Tracking, Reporting & Vendor Management
- Maintain shipment trackers and produce logistics KPI reports (OTD, backlog, transit performance)
- Act as primary contact for freight forwarders and transportation providers
- Monitor carrier performance against agreed service levels
- Support freight cost tracking and logistics efficiency initiatives
Qualifications & Requirements
Educational Requirements
- Diploma or Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, International Trade, or related field
Experience Requirements
- 5-7 years of experience in logistics, shipping, import/export coordination, or freight forwarding
- Experience managing international shipments and customs documentation
- Oil & Gas or industrial/manufacturing sector experience is highly desirable
Essential Skills
- Strong knowledge of UAE Customs, Free Zone requirements, and Incoterms
- Proficiency with ERP systems (Syteline preferred) and Microsoft Excel
- Strong attention to detail and documentation accuracy
- Excellent communication and stakeholder management skills
- Analytical, proactive approach to problem-solving and process improvement
