Position Overview

This Supply Chain Manager role at Xtherma in Berlin is a full-time, hybrid position that places you at the operational heart of a fast-scaling CleanTech startup. There is no finished manual — your job is to take ownership of core operational processes and make them better. You will be responsible for end-to-end order management from customer order through warehousing, logistics, and delivery; manage all supplier and logistics relationships including negotiation and cost optimization; drive continuous process improvement (Kaizen) as a daily mindset rather than a project; and work cross-functionally across product development, customer support, and business development. You will work directly and closely with the founder, bringing your own initiatives and taking genuine responsibility for operational process decisions. Key Responsibilities

Continuous Process Improvement

  • Drive continuous operational improvement as a daily mindset and professional responsibility — not as a one-off project or occasional task
  • Proactively identify operational bottlenecks, inefficiencies, and automation opportunities across the entire supply chain and order management workflow
  • Propose practical, implementable solutions and take personal ownership of executing those improvements without waiting for management sign-off on every step
  • Use AI tools and digital platforms actively to identify operational leverage points and efficiency gains across Xtherma’s processes

End-to-End Order Management & Operations

  • Take full end-to-end responsibility for Xtherma’s operations — from customer order placement through warehousing, logistics coordination, and final delivery to the customer
  • Serve as the primary customer contact for all operational and order-related enquiries, ensuring a consistently professional, responsive, and solution-oriented customer experience
  • Maintain clean, accurate, and up-to-date data in the ERP (merchandise management) system and CRM across all operational activities
  • Ensure order fulfilment accuracy, delivery reliability, and customer satisfaction as measurable outcomes of your daily operational management

Supplier & Logistics Management

  • Manage all supplier and logistics provider relationships — covering day-to-day communication, commercial negotiations, problem resolution, and ongoing cost optimization
  • Develop and refine Xtherma’s supplier management approach, building reliable partnerships that support the company’s rapid growth trajectory
  • Lead procurement negotiations with both existing and new suppliers to secure optimal pricing, delivery terms, and commercial conditions for the business
  • Monitor supplier performance, logistics reliability, and delivery quality — escalating and resolving issues proactively before they impact customers or operations

Cross-Functional Project Ownership

  • Take on and deliver cross-functional projects spanning customer support, product development, and broader business development topics as Xtherma scales
  • Work across every function of the company — gaining full business understanding and contributing meaningfully to decisions that shape Xtherma’s operational and commercial direction
  • Bring your own ideas, initiatives, and improvement proposals to the founder and senior team — proactively shaping how Xtherma grows and operates
  • Collaborate directly with founder Felix in weekly 1-on-1s, taking ownership of process decisions and operational excellence as a genuine strategic partner

Qualifications & Requirements

Educational Requirements

  • University degree or comparable vocational qualification in Logistics, Supply Chain Management, Industrial Engineering (Wirtschaftsingenieurwesen), Business Administration (BWL), or a related discipline
  • Academic grounding in operational processes, supply chain management, or procurement is a strong foundation — equivalent practical experience is equally considered

Experience Requirements

  • 1 to 3 years of practical hands-on experience in Supply Chain Management, Logistics, or Operations — you know the real-world complexity, not just the theory
  • Demonstrated ability to work independently, set your own priorities, and deliver consistently without needing step-by-step instruction from management
