Position Overview
The Logistics Specialist role at SOLPLANET’s Ratingen office is a comprehensive, operationally hands-on position covering the full scope of daily logistics activities. You will create and manage shipping and customs documentation, coordinate with sea, air, and land freight carriers, liaise across internal teams and external partners, compile cost reports, and support special cross-region logistics tasks. Key Responsibilities
Document & System Management
- Create, organize, and archive shipping documents, transportation records, customs clearance files, and all related logistics documentation
- Ensure accurate and timely entry of all logistics data into ERP, WMS, and other systems for full supply chain traceability
- Maintain logistics data in real time, keeping goods received, dispatched, and in-transit status consistently synchronized across systems
- Support document compliance for international shipments including customs declarations, commercial invoices, and packing lists
Transportation & Distribution Coordination
- Coordinate with sea, air, and land freight carriers to arrange goods receipt, dispatch, and delivery schedules for SOLPLANET products
- Manage daily transportation tasks, track active shipment status, and promptly address anomalies such as delays, damage, or customs holds
- Support carrier selection processes through rate comparisons, service evaluations, and cost optimization activities
- Liaise with freight forwarders to ensure smooth customs clearance and compliant international shipping for solar and energy products
Cross-Functional Communication & Coordination
- Liaise with internal procurement, sales, and warehouse teams to facilitate seamless order processing, handovers, and issue resolution
- Communicate directly with external customers, carriers, and freight forwarders to ensure accurate, on-time logistics execution
- Serve as a reliable coordination point across functions to keep logistics operations running smoothly and efficiently
- Actively contribute to process improvements and equipment management initiatives as identified by the logistics team
Reporting, Cost Support & Special Tasks
- Compile logistics-related data and generate regular reports on transportation performance, inventory levels, and logistics costs
- Assist in logistics performance analysis to identify inefficiencies and support data-driven decision-making across the supply chain
- Participate in invoice verification, cost accrual, and settlement processes to support accurate cost control efforts
- Complete special assignments such as coordinating cross-region shipments or reverse/return logistics as directed by supervisors
Qualifications & Requirements
Educational Requirements
- Bachelor’s degree or above, preferably in Logistics Management, Supply Chain Management, International Trade, or a closely related field
- Academic exposure to freight management, customs procedures, or international logistics operations is an advantage
Technical Skills
- Proficiency in Microsoft Office Suite — including basic to intermediate Excel functions for data reporting and cost tracking
- Experience with ERP or TMS (Transport Management Systems) is a significant advantage for this role
- Detail-oriented with strong numerical accuracy — essential for shipping documentation, invoice verification, and cost reporting
Language & Personal Requirements
- English proficiency required for working-level communication with international carriers, freight forwarders, and global teams
- German or other foreign language skills are a clear advantage for local supplier and customer communication
- Strong communication and teamwork skills with the ability to collaborate effectively across procurement, sales, and warehouse functions
- Ability to thrive in a fast-paced, dynamic environment with flexibility to work overtime when business needs require it
- Prior internship or work experience in logistics, warehousing, or supply chain is preferred — but motivated candidates are welcomed
