Position Overview

The Logistics Executive in the UAE is responsible for managing the full daily cycle of freight and supply chain coordination — planning and monitoring inbound and outbound shipments, coordinating with freight forwarders and shipping lines, managing import/export documentation and customs compliance, tracking active shipments and providing timely status updates to customers and management, identifying and resolving delays proactively, preparing logistics reports using Excel and ERP systems, and continuously optimising logistics processes to reduce costs and improve service delivery across the UAE supply chain operation.

Key Responsibilities

  • Plan, coordinate, and monitor all inbound and outbound shipments across sea, air, and road freight modes to ensure timely delivery
  • Liaise proactively with freight forwarders, shipping lines, carriers, and transport partners to book and confirm all shipment arrangements
  • Track all active shipments in real time — providing accurate, timely updates to customers, management, and internal supply chain teams
  • Identify potential delays, disruptions, or logistics issues early — implementing corrective actions swiftly to protect customer delivery commitments

Import/Export Documentation & Customs Compliance

  • Prepare, review, and manage all import and export documentation — commercial invoices, packing lists, bills of lading, and certificates of origin
  • Ensure full compliance with UAE customs regulations, import/export procedures, and all applicable regulatory requirements for each shipment
  • Coordinate with customs brokers and freight forwarders to facilitate smooth, timely customs clearance for all international shipments
  • Follow up on pending documentation, verifying accuracy and ensuring timely submission within required regulatory deadlines

Supplier, Freight Partner & Customer Liaison

  • Build and maintain strong professional relationships with freight forwarders, shipping lines, suppliers, customs brokers, and delivery partners
  • Serve as the primary logistics point of contact for customers and internal stakeholders — communicating shipment status proactively
  • Negotiate freight rates and service agreements with logistics providers — seeking cost-effective, reliable solutions for each shipment
  • Resolve supplier delivery issues, freight disputes, and documentation discrepancies efficiently and professionally

Reporting, ERP Management & Process Optimisation

  • Manage logistics data accurately within ERP and freight management systems — maintaining real-time visibility of all shipment activity
  • Prepare regular logistics performance reports covering shipment status, freight costs, delivery timelines, and KPI performance for management
  • Identify opportunities to reduce logistics costs, improve delivery reliability, and streamline freight coordination processes
  • Maintain organised, audit-ready logistics documentation — filing all shipping records, customs documents, and correspondence accurately

Qualifications & Requirements

Educational Requirements

  • Bachelor’s degree or Diploma in Logistics, Supply Chain Management, Business Administration, or a related discipline — preferred

Experience Requirements

  • 2–5 years of experience in logistics, freight forwarding, supply chain coordination, or a related role — UAE or GCC experience preferred
  • Solid practical knowledge of import/export shipping documentation, customs procedures, and freight forwarding operations in the UAE
  • Hands-on ERP system experience for shipment tracking, freight management, and logistics data management in daily operations
