Position Overview
The Project Operations Executive is accountable for the end-to-end operational execution of project cargo shipments, including Breakbulk (BBK), RoRo, Flat Rack, Open Top, Heavy Lift, and Out-of-Gauge (OOG) movements. This role requires effective coordination with customers, carriers, shipping lines, transport providers, customs authorities, ports, and internal stakeholders to ensure project shipments are executed safely, efficiently, and in line with agreed timelines and service requirements.

Key Responsibilities
Operational Coordination
- Coordinate and manage project cargo shipments from origin to final destination
- Execute shipments involving Breakbulk, RoRo, Heavy Lift, OOG, Flat Rack, Open Top, and conventional cargo
- Arrange special equipment including cranes, trailers, hydraulic axles, low beds, SPMTs, and lifting gear
- Ensure proper cargo securing, lashing, and stowage arrangements are implemented
Documentation Management
- Review and verify shipping documents, including commercial invoices, packing lists, and bills of lading
- Ensure timely preparation and submission of heavy lift method statements, lifting plans, and survey reports
Customs & Compliance
- Coordinate customs clearance activities with internal stakeholders, external brokers, and regulatory authorities
- Ensure compliance with local and international trade regulations, verifying permit requirements for oversized cargo
- Monitor adherence to HSE and project-specific compliance requirements
Customer & Vendor Management
- Act as the primary operational contact for assigned project shipments (backup)
- Provide regular shipment status reports and respond promptly to customer inquiries
- Coordinate with approved transporters, vessel operators, and subcontractors, monitoring vendor performance
Risk Management & Reporting
- Identify potential operational risks and implement mitigation measures
- Escalate delays, damages, and compliance issues promptly, coordinating contingency plans
- Update shipment milestones in the company operating system and prepare KPI reports
Qualifications & Requirements
Educational Requirements
- Bachelor’s Degree in Logistics, Supply Chain, or a similar discipline
Experience Requirements
- Minimum 5 years of working experience in the project forwarding industry in the UAE
Essential Skills
- Ability to review, interpret, and analyze shipment documentation, cargo specifications, and drawings
- Ability to coordinate with transport vendors, surveyors, ports, and project stakeholders
- Strong understanding of project logistics processes, including pre-shipment planning and delivery execution
- Strong analytical and problem-solving skills to identify operational challenges and propose solutions
