  • Maintain HR trackers — including onboarding progress trackers, documentation completion logs, and compliance checklists — and provide regular, accurate updates on task status and pending items to ensure no activity falls through the gaps

Onboarding & Offboarding Coordination

  • Support the full employee onboarding process — coordinating documentation requirements, scheduling orientation activities, preparing employment contracts and welcome materials, and ensuring every new joiner has a structured, smooth, and professionally managed first experience with the organisation
  • Assist with employee offboarding activities — coordinating exit documentation, scheduling exit interviews, managing equipment return and system access revocation logistics, and ensuring all offboarding compliance steps are completed accurately and on time
  • Communicate proactively with new joiners, hiring managers, and relevant internal teams throughout the onboarding process — providing clear guidance, answering questions, and resolving administrative issues to create a positive and welcoming experience from offer acceptance to day one and beyond
  • Maintain accurate onboarding and offboarding records — ensuring all documentation is complete, correctly filed, and fully compliant with HR policy requirements and applicable data privacy regulations at every stage of the employee lifecycle

HR Documentation Preparation & Administration

  • Prepare a variety of HR documents — including employment contracts, offer letters, contract amendments, salary letters, experience certificates, and internal HR communications — to a high professional standard and in strict accordance with company templates and HR policy requirements
  • Respond to basic HR enquiries from employees and managers — providing accurate, policy-aligned answers to routine HR questions and routing more complex or sensitive queries to the appropriate HR team member promptly and professionally
  • Draft and format internal HR communications and announcements — ensuring all correspondence is clearly written, professionally presented, and aligned with the organisation’s communication standards and tone of voice
  • Support the preparation of HR reports, data summaries, and management updates as requested — compiling accurate information from HR trackers, HRIS data, and documentation records into clear, well-structured outputs for management review

Compliance, Data Privacy & Audit Support

  • Ensure compliance with HR policies, documentation standards, and applicable data privacy requirements across all HR records and correspondence — maintaining strict confidentiality in the handling of all sensitive employee information at all times
  • Assist with audit preparation by ensuring all required documentation is complete, correctly filed, accurately named, and readily accessible for internal and external review — proactively identifying and resolving documentation gaps before audit deadlines
  • Handle all employee data and sensitive HR information with the highest standards of professionalism, confidentiality, and responsible data stewardship — understanding that the trust employees place in the HR function depends entirely on the integrity with which their information is managed
