Position Overview
The Commercial & Supply Chain Coordinator at Del Monte Germany is a fast-paced, multi-disciplinary coordination role covering the full commercial and operational relationship with German retail customers. Reporting directly to the Commercial Manager in Marktheidenfeld, you will manage customer contact, coordinate promotional campaigns, oversee order management, maintain ERP and master data systems, support supply chain activities, and produce reporting and analytics in Power BI. With responsibility for smooth order-to-cash management across logistics, sales, and finance, this is an ideal role for an experienced FMCG coordinator who combines strong commercial instincts with sharp organisational and analytical skills — and who is fluent in both German and English.

You will manage promotional planning and coordination for major German retail clients, keep order-to-cash processes running smoothly across logistics, sales, and finance, maintain critical master data in ERP systems and customer databases, build Power BI sales reports that drive internal decision-making, and support Del Monte Germany’s continued growth as a leading FMCG brand in the German food retail market.
Key Responsibilities
Customer Relationship Management
- Maintain close, personal day-to-day contact with purchasing assistants across all major German retail customers — being their trusted first point of contact
- Serve as the primary contact person for both purchasing and sales staff at Del Monte Germany’s retail and trade customer accounts
- Respond professionally and promptly to consumer inquiries and customer requests, representing Del Monte Germany Food with quality and care
- Manage and maintain customer master data within the ERP system (Exact) — collecting, verifying, and keeping all data accurate and current
Order Management & Order-to-Cash Operations
- Ensure smooth and reliable order-to-cash management in close collaboration with logistics, sales, and finance departments to avoid customer order errors
- Coordinate delivery dates with customers for both promotional orders and daily standard purchase orders, ensuring accurate fulfilment
- Prepare daily order reports including orders not yet invoiced, keeping the commercial team fully informed on pipeline status
- Support implementation of improvements in EDI ordering, EDI invoicing, and EDI communication processes to enhance operational efficiency
Promotional Coordination & Campaign Planning
- Coordinate all promotional activities with retail customers — including campaign planning, promotional delivery scheduling, and volume forecasting for the promotional period
- Create, review, and manage display configurations and customised promotional packaging aligned with each customer’s campaign specifications
- Plan and input additional promotional discounts for agreed campaign periods, ensuring all arrangements are correctly reflected in internal systems
- Ensure customers submit their required promotional proof documents and that all agreed promotional conditions are properly verified and documented
Bonus Management & Financial Coordination
- Track and follow up on bonus payments — proactively requesting that customers submit agreed invoices on time and within payment terms
- Internally track all customer invoices to ensure the finance department processes payments accurately and on schedule without delays
- Conduct discount and promotional validity controls — verifying that all pricing, discounts, and rebates are correctly maintained in Exact
- Support the invoicing team with customer-related discount settlements, reconciliations, and accurate documentation for financial reporting
Data Management, Reporting & Analytics
- Create and maintain customer sales reports covering sales volume and revenue — delivering clear, actionable insights to the commercial team
- Build and manage sales status reports and sales analytics dashboards in Power BI for internal management reporting
- Maintain and update all product and company data in customer databases and the Atrify portal with full accuracy and completeness
- Manage packaging material calculations and coordinate LUCID dual system reporting — including the completeness audit with an appointed auditor
Supply Chain Support & Promotions Material
- Support the Supply Chain Manager on important logistics, planning, and coordination tasks as required within the German operations
- Coordinate, plan, and organise all promotional materials efficiently across campaigns to ensure timely availability and customer readiness
- Manage prices and discounts in Exact — maintaining accuracy across all current pricing structures for German retail customers
Qualifications & Requirements
Essential Requirements
- Solid foundational experience as a Sales Administrator and/or Order-to-Cash Administrator — minimum 2 to 3 years, ideally within FMCG
- Strong communication, organisation, and interpersonal skills — comfortable managing multiple priorities and customer relationships simultaneously
- Fluent written and spoken German and English — both languages are actively used in this role and non-negotiable for success
- Experienced ERP user with strong proficiency in Microsoft Office and Power BI — keen attention to detail in all data and reporting tasks
- Self-motivated with a results-driven, outcome-oriented approach and the ability to work independently with minimal supervision
- Must be legally authorised to work in Germany — this is a mandatory requirement for all candidates
Preferred Qualifications
- Experience working in the FMCG sector — preferably within a branded goods or consumer food company in Germany or Europe
- Knowledge and experience with the Exact ERP system or an equivalent enterprise resource planning platform
- Familiarity with LUCID / dual system packaging compliance, EDI processes, or Atrify product data management portals
